How can I save my online time while writing e-mail? Online time is precious. So an effort must always be made to save it as much as possible. However, as far as writing of e-mail is concerned, it should always be done in offline mode unless it is very necessary to write online. To write offline, click the New Mail button and compose the message in the relevant window. When you have finished writing your e-mail, click the Send button. Now your mail will be transferred to the Outbox folder. Whenever you connect to the Internet next, just click on the Send and Receive button on the menu bar and your message will be automatically scheduled for transmission. Another way of writing offline messages is write it and then save the message in the drafts folder. This message will remain permanently in your drafts folder and whenever you need to use it, you can open, edit and send it.
How can I organise my mail. Well, this is the most difficult and crucial of all tasks. Organising e-mail means routing your mail to different folders, deleting unwanted mail, auto-answering your mail, etc. This is the unique feature of Outlook Express that you can actually create several folders and route all your incoming mail to these folders based on certain criteria. Thus, you may prefer to have separate folders for official and personal use and may be one for others. By defining the criteria for filtering mail, you can actually divert them to these folders. For filtering the mail, click on the Tools menu on the menu bar, then click on Message Rules; In the next window, you will find the main window subdivided into three windows. All three are correlated and clearly define the condition and its corresponding action. So if you wish to divert all mail received from Mr X, then you can choose the first option of the first and second windows and define the action in the third window. There are several conditions mentioned in this software, which cover most of the actions that you would require in organising your e-mailing. Using this feature you can automatically ignore and delete selected messages, without bothering to even look at them. If you wish that the mail from a particular person should be deleted directly, then you can select the relevant conditions and actions, and you will never be bothered by his mail again. Other features like moving, copying, forwarding, highlighting, flagging, automatic replying, can also be utilised effectively to manage your e-mail. How do I import address book entries and messages from other programs like Eudora, Netscape mail, etc.? Outlook Express has compatibility with all major e-mail clients like Eudora and Netscape mail. If you are switching over from any other e-mail client to Outlook Express, then you need not worry about your address book in that client. You can actually import your address book from these and most other e-mail software. You can use the import option of Outlook Express from the File menu to import all messages and address book entries stored in other software. You are just required to know the correct location where your address book and messages are stored, the rest would be done by the automatic wizard. Outlook Express also has an export option, which can convert the messages in Outlook Express 5 format to either Microsoft exchange format or its previous versions. It is always good to keep a hard copy of your address book as it safeguards your interest from a situation like a crash or data deletion by accident. You can easily do all this in Outlook Express. In order to transfer the address book to another PC, click open the Contacts folder and click any of the Contacts title bars to select it and then press Ctrl+A together to select all contacts. Now click on File menu and select Print and choose the options as per your requirement. If you wish to save the contacts elsewhere, then click on File menu and then click on Export submenu. However, if you wish to export your messages, then it will be transferred to MS Outlook or Microsoft Exchange. Why does Outlook Express disconnect after sending and receiving mail? Normally, it is a part of configuring your Outlook Express 5. If you have configured it to disconnect after sending or receiving mail, then it will get disconnected automatically. However, if you want to stay connected then you can turn off this feature. For this, simply click on Tools and select Options. Then click on the Connection tab and uncheck the box against ‘Hang up after sending and receiving.’ Why do I get various types of error messages? And what does it mean? While working in Outlook Express, you may come across various types of error messages. All error messages give full details of the problem. Suppose, if while sending or receiving mail, the Internet gets disconnected, then you will receive error message due to disconnection. The solution is to either close the dialogue window and keep working or reconnect to the Internet. These are the most basic kinds of errors, but you may come across some other errors that may prove fatal. Suppose if you are getting the message "This folder is damaged. It will now be repaired (followed by the name of the folder like Inbox. Outbox, Sent, Deleted Items)." This error represents the damaged mail files in the folder. If by repairing the files or folder the files are restored, then you will not get the message again. Else, you will keep getting this message later also. In this case, the problem can be solved by deleting the damaged files and replacing them by the back-up, if any. However, if you do not have any back-up then your mail would be lost. In some cases you can also solve this problem by the following method. Close Outlook Express. Click on Start button on your task bar, click Find menu, and select files or folders from the window that opens. Now enter the name of the folder that is damaged. For example, if the Inbox is damaged then write Inbox.* in the box adjoining Named. Select drive c: in the Look in field and check the ‘Include subfolders’ option. Normally you will get two files, namely, inbox.idx and inbox.mbx. Delete both these files. When you restart Outlook Express, it will automatically load fresh copies of these files and the error message will be gone for good. One of the most common error messages in Outlook Express is related to "Socket Error." This error is normally encountered when you send or receive e-mail. This message simply represents that Outlook Express could not connect to the mail server address defined in POP 3 or SMTP. There could be several reasons for this problem like the e-mail server of your ISP might be down, or you might be trying to access the e-mail server from an Internet connection other than your ISP’s connection. Another very common error message is related to DLL files. A message like ‘MSIMN caused an invalid page fault in wsock32.dll,’ shows that the DLL files of your system have become corrupt.
