Communicating with colleagues via network
Shalini Singh

THESE days memos, circulars, information and news do not have to be circulated in print. Rather they just flash on the monitors. When talks have been going on about transforming the IT industry into a paperless commercial enterprise, we must learn to communicate in a fast and effective manner too.

In today’s fast moving busy working environment, if you need to communicate with others in the office, or maybe colleagues in another building, make life easy for yourself and start availing the facilities of these utilities:

Net send – It sends messages to other users, computers or messaging names on the network. This will pop up a window on a Windows machine, using the messenger service (Note, that this is different from Windows or MSN messenger, it’s a low level service built-in to the Windows Operating System). With no installation required, users must be using Windows NT, 2000 or XP and must have the messaging service started. For example, to send the message "Meeting postponed to 3 p.m., same place" to the user Robert, type: net send Robert Meeting postponed to 3 p.m., same place.

This utility can also be used to send messages to all users connected to the server.

For example, Net send /users - this server will shut down in five minutes.

LanTalk XP – This is convenient messaging software that allows you to send and receive messages to and from co-workers. LanTalk does not require an Internet connection or a dedicated server, is very easy to install and simple to use. To have a ‘strict business-like’ approach, the size of messages has been limited to 32 kilobytes and file transfers have been disabled. The interface of LanTalk is simple so anyone can learn how to use it in few minutes. The program features convenient navigation, so that you can easily find old messages. You can also export the message if you want. This feature comes handy, when you want to e-mail the message.

An important feature for the companies that work round-the-clock is that you can schedule the time when the message should be sent.

As this utility is free to try you can download and install it without any upfront costs.

Few other key features of LanTalk XP:

  • Quick and easy setup, friendly interface, Windows 95/98/NT/2000/XP compatible.

  • E-mail tool for sending messages directly from LanTalk XP.

  • Search in messages and go to message number.

  • Supports 18 languages including English, Espaniol, French, Deutsch, Norwegian, Portuguese, Dutch, Italian, Swedish and Arabic etc.

We spoke about two-way communication till now, but this technology has a down side – some employees use it for their personal purposes that can hurt your business - mindless chat or file swapping, are found to be common. But there is an answer to this too:

LanInfo XP – After you integrate this software in your network, you will be able to send messages to any computer connected to this network. The unique feature is you can grant the message sending privilege to your computer only and the rest of the workstations will only be able to receive the messages but won’t be able to send them.

So, you can have the benefit of instant communicate without worrying about the misuse of your messaging software. As the program does not require Internet access or a dedicated server and is simple to install and use, it has been spreading very quickly among both hi and low-tech companies.

So, now you can stop employees, from chatting to their friend while they are working, but receive your messages. Some of the key features:

  • Quick and easy setup.

  • Advanced notification system.

  • Low cost licensing with volume discounts.

You can download and install this multi-lingual utility for a trial too.

Besides these sources or effective and efficient communication, there are few other utilities about which you can get more information by logging on to www.cezeo.com and www.sofotex.com/download/Communication/Chat_Utilities
